Duties

 

The incumbent is responsible for safe handling, moving and storage, and inventory of both expendable and non-expendable items.  The position is in the General Services Office and under the supervision of the Warehouse Team Leader. 

Job holder performs loading and unloading of both expendable and non-expendable including but not limited to furniture, appliances, etc. from trucks/vans to the warehouse(s). Assists in organizing, preparation and the delivery of items from the warehouse to office buildings, residential properties, and other locations. Assists in arranging items for sale or disposal. Provides manual assistance during visits and/or events such as setting up of control rooms, safeguarding property, tracking of items and equipment etc.

Qualifications and Evaluations

Requirements:
EXPERIENCE: A minimum of two (2) years of experience in manual labor or warehouse work is required. 

JOB KNOWLEDGE:

    • Good working knowledge of maintenance and efficient usage of warehouse storage space.
    • Good working knowledge of conducting inventory and stacking of items/equipment.

 

Education Requirements:
Completion of primary school is required.
Evaluations:
LANGUAGE:   English (Rudimentary knowledge) Reading/Speaking is required. 

SKILLS AND ABILITIES

    • Ability to physically able perform loading and unloading. Must be able to handle heavy objects smoothly and efficiently. Must be able to able to lift a maximum of 51 lbs. (23kg) under OSHA standards.
    • Ability to use warehouse tools and safely operate equipment such as forklifts, hand trolleys, electronic lifters etc.

Planning and supervising the execution of the Pharmacy Warehouse and Medical Stock Management ac-tivities in the project according to MSF protocols and standards in order to ensure the optimal functioning of the mission.

Accountabilities

  • Planning and supervising on a day-to-day basis the Pharmacy Warehouse and Medical Stock Management activities in the project, ensuring compliance of MSF standards, protocols and procedures. These activities include but are not limited to the following:
  • Physically and administratively managing medical stocks in conjunction with project pharmacy manager and end-user unit supervisors and assuming responsibility for the warehouse and its contents
  • Ensuring that all necessary tools and management procedures are in place in order to avoid stock ruptures, losses (expiries, damages due to bad storage conditions, temperature breach) and excess stocks. Regularly comparing stock card and software database, checking inventory levels (physical counts), keeping inventories up to date and monitoring consumption
  • Checking, recording and an-anging the goods received and ensuing the availability of a wide range of items for various projects and depadments (medical supplies, therapeutic foods, tools, equipment, etc.)
  • Ensuring that all items are well organized and correctly stored according to their specificity, well protected, fully identified and easily accessible (cleanliness, security, access, etc.)
  • Supervising the team under his/her responsibility including the definition and planning of each petsonls tasks (daily supervision and checking the quality of their work); drawing up working schedule and organizing and leading team meetings
  • Supervising, in close coordination with the HR department, the associated ptocesses (training/induction, evaluation, potential detection, development and communication) of the staff under his/her responsibility in order to ensure both the sizing and the amount of knowledge required;
  • Performing delegated tasks according to his/her speciality and as specified in his/her job description
  • Being in charge of the order preparation for end-use units in timely manner according to the monthly schedule, stick to Good Distribution Practice
  • Ensuring ‘first expired first out’ rule with possible measures through all the activities, including daily order preparation, retum from the unit, shelves arrangement and cargo reception
  • Ensuring monitoring temperatute, humidity of the warehouse, periodical cleaning of shelves, fridges conducted by storekeepers
  • Being flexible on receiving cargo even with short notice, preparing the reception and giving back the feedback
  • Managing expired items the end of each month from pharmacy warehouse, collaborating with pharmacy supeniosr regarding expired items occurring from end-use units and having accurate list of expired items in order to destruct accordingly
  • Conducting stock analysis (rupture, risk of rupture, sleeping stock, overstock) on a regular basis and share Monthly Stock Repott with pharmacy manager

Required Criteria

Education: Essential, Secondary education, Degree of pharmacy management or nursing related studies., or medical profile is an asset

Languages: Mende, Krio and English

Experience: At least 1 year certified work experience of being responsible for medical stock management and/or experience in MSF Warehouse

Job Summary:  

You will manage all activities related to warehouse delivery/handling, receipt, stacking, storage, and dispatch  of goods in support of the delivery of high-quality programming to the poor and vulnerable. You will ensure  that goods donors entrust to the organization are physically safeguarded and remain healthy and intact in  the warehouse(s) and are properly accounted for in compliance with CRS and donor regulations and  international and local supply chain standards and requirements.

Roles and Key Responsibilities:  

  • Manage warehousing/storage facilities and all necessary equipment and supplies, ensuring they are  secured and maintained in excellent physical condition and quantities consistent with established  security, safety, care, and health requirements for storage and safeguarding. Ensure optimal space  and resources utilization.
  • Works in close collaboration and coordination with the Logistics Manager, the Transportation  Officer, and service providers to efficiently and effectively plan for and implement goods receipt,  storage, and dispatch per delivery schedules.
  • Effectively manage talent and supervise. Manage team dynamics and staff well-being. Provide  coaching, strategically tailor individual development plans, and complete performance management  for direct reports. Monitor and assess performance to ensure adequate capacity for successful  support of high-quality programming.
  • Coordinate and supervise inbound and outbound goods handling and inspect and verify goods  receipts and dispatches against waybills to accurately account for quantities, shortages, damages,  losses, or unfit goods.
  • Implement inventory control systems for proper goods handling and accounting. Conduct cycle  counts for inventory accuracy and perform regular inspections to minimize risk. Support complete  physical inventories as needed.
  • Ensure the maintenance of up-to-date warehouse records (stock ledger, bin cards, loss status  reports, waybills, etc.) and filing systems for monitoring, control and reference. Coordinate and  oversee data recording in relevant systems. Prepare accurate and timely reports related to  inventory, stock control, and warehouse activities.

Basic Qualifications 

  • High school diploma required, or Degree in Logistics is a plus.
  • Minimum of 3 years work experience in inventory or warehouse management with progressive  responsibility and preferably with an international organization.
  • Knowledge and understanding of inventory management and control principles.
  • Staff management experience and abilities that are conducive to a learning environment, including  training experience.
  • Proficient in MS Office package (Excel, Word). Experience with database management systems (e.g.  MS Access) is a plus.

Supervisor: MEL Senior Assistant

Specific duties:

  • Train SOPs, Team Leaders and Brigade Supervisors on data collection using the approved M&E tools
  • Ensure correct use of data collection tools and supervise data collection at operation sites
  • Responsible for overall monitoring of data collection activities in the assigned site
  • Ensure all data are reviewed and verified by Team leaders/Brigade supervisor for their respective teams and reported according to the approved data flow and timelines
  • Identify and report data errors to MEL Senior manager via data collection tool provided
  • Take corrective actions as required for quality improvement at site level
  • Perform data collection verification in project-supported communities as required
  • Ensure timely delivery of data (paper forms) from the field to the data center
  • Submit daily spray progress reports for the assigned operation sites
  • Support site manager to plan and organize daily field supervision

REQUIREMENTS

3.) Logistics Assistant (x2)

Position: Logistics Assistant

Number required: 1 Bo district & Bombali District

Supervisor: Logistics Coordinator

Specific duties:

  • Provides logistical support for IRS activities, including spray operations, transport, and distribution of materials to operation site.
  • Assists in managing the inventory, storage and irreparable materials, under the direction of logistics coordinator
  • Works closely with district coordinator to ensure vehicles daily use sheet is completed accurately by drivers.
  • Ensuring regular follow up of the hired project vehicles in the filed plan for any requirement for programme activities in liaison with the district Coordinator and logistics Coordinator.
  • Oversee the collection of used insecticide sachets/bottles and PPEs and ensure sorting and storage at operation stores in collaboration with Environmental Compliance and safety Assistant.
  • Plan and organize daily and weekly projections of logistics needs and movement.
  • Ensure regular restocking of insecticides and other materials is done on time and before stock runs out.
  • Verify completeness, accuracy and authenticate the ledger books at the operations sites stores.

 

Required qualifications:

  • Diploma in Logistics and supply chain management or relevant field.
  • Work experience in inventory control and warehouse/store management is preferred.
  • Possess Basic Knowledge of MS Excel.
  • Must be knowledgeable about the safe handling of insecticides and adherence to basic environmental compliance guidelines.
  • Willingness and flexibility to work long hours
  • Ability to work under pressure with little or no supervision.
  • Being a resident of the assigned operation site is an added advantage.
  • Female Storekeepers MUST not be pregnant or lactating mothers during the spray campaign.
  • Must be both physically and medically fit with no history of chronic respiratory infection or allergic to insecticides.

Position: Warehouse Assistant

Supervisor: Warehouse Manager & Logistics Coordinator

Specific duties:

  • Assist in overseeing daily operations of warehouse and maintain proper inventory records system at proper levels.
  • Ensure proper storage and identification of all items in the warehouse.
  • Inspect IRS materials received in the warehouse to verify quality and quantity of items delivered.
  • To keep track of receipts, issues records and withdrawals of all IRS related materials in the Warehouse.
  • Follow up on supply requests from operation site and liaise with the Warehouse Manager and site Manager to monitor progress.
  • Assist warehouse manager to ensure proper material and equipment storage to avoid damages and ensure rotation of short shelf-life items.
  • Assists in updating the logistics database in the warehouse

 

Required qualifications:

  • Diploma in Logistics and supply chain management or relevant field.

5.) Site Manager (x23)

Specific Duties:

  • Coordinate all IRS site activities (morning mobilization of IRS teams and end of the day clean-up of equipment and personnel)
  • Populate Spray Performance Tracker with spray results at the end of each day
  • Lead coordination and planning of next-day movement for IRS teams and mobilizers through evening meetings with IRS site team
  • Compile community-level IRS data at the end of each day to guide next-day movement of IRS teams and mobilizers
  • Responsible for timely dispatch of IRS teams to the communities every morning of the IRS campaign
  • Report ALL incident of side effect related to insecticide to the District Coordinator and environmental Compliance Assistant.
  • Responsible for daily preparation of a soak pit for IRS activities
  • Ensure food for IRS teams is provided on time
  • Ensure water for washing and cleaning is always provided
  • Ensure all IRS equipment is well-functioning daily
  • Ensure environmental compliance and good sanitation at the IRS site at all time
  • Ensure personal protective equipment of personnel is cleaned and washed daily and organized for next day use.
  • Supervise daily distribution of insecticides to spray operators
  • Ensure weekly meetings at site to improve the performance
  • Serve as master trainers for team leaders and spray operators

 

Required qualifications:

  • Minimum academic qualification of a Diploma in any field
  • Ability to manage groups of people and/or tasks under pressure with little or no supervision
  • Previous experience in an IRS operation is preferred but not required
  • Good verbal communication skills in English
  • Knowledge of a local language is an advantage
  • MUST be able to use a mobile phone to perform basic functions such as sending SMS

6.) IEC Supervisor (x28)

Position: IEC Supervisor

Number required: 16 chiefdoms Bo district & 12 chiefdoms Bombali District

Supervisor: District Coordinator

Period: March to May 2024

Specific duties:

  • Coordinate mobilization of all communities in the assigned Chiefdom to increase acceptance of IRS
  • Lead implementation of communication strategies in assigned chiefdom to ensure ALL community-level stakeholders ACCEPT IRS BEFORE the spray campaign
  • Coordinate IRS mass mobilization activities by working closely with the District Coordinator, site managers and community mobilizers in assigned operation sites ensuring coordinate their visits well
  • Liaise with community leadership, district council officials, and respective DHMTs for assistance with community mobilization and IRS sensitization efforts
  • Ensure mobilization and IEC activities are implemented as per the mobilization calendar and spray calendar
  • Manage and work closely with community mobilizers to ensure households in each community are fully prepared and accept IRS
  • Facilitate training, coordinate, and supervise activities of IEC assistant and Mobilizers and all other actors involved in mobilization within assigned chiefdom during the implementation of IRS.
  • Take photos of IRS mass mobilization activities daily
  • Submit daily progress reports on (mobilization activities, challenges experienced lessons learned, and successes) and submit to IEC coordinator and district coordinator
  • Ensure all operation sites are well branded with IRS banners and other IEC materials
  • Work with site manager and other field staff to orientate community mobilizers on their roles and responsibilities
  • Ensure community mobilizers have functioning megaphones to carry out their activities
  • Monitor and report on IRS radio discussion programs and Jingles
  • MUST collect and report community mobilization data for communities visited after each community meeting using the recommended electronic tools and mobilization forms prior to the start of the IRS campaign

 

Required qualifications:

  • Diploma in communication, community development, public health, social science, or related discipline.
  • Training in participatory approaches and community mobilization is preferable.
  • Excellent interpersonal skills and ability to work as part of a team.
  • Ability to write news stories and take good photos.
  • Ability to work independently with minimum supervision.
  • Proficiency in English and ability to speak the common local language in Bo and Bombali districts.
  • Very good knowledge of the geographical setup of the targeted Chiefdom and must be residents of the targeted Chiefdom.

 

Expectation:

  • Increase in IRS acceptance in the targeted communities/villages.
  • IRS-targeted villages have been visited at least once before and during the IRS campaign.
  • Community mobilization forms are properly filled in for all targeted villages and submitted to the M&E team.
  • IEC Assistants are well supervised and ensure they are performing their tasks accordingly.
  • Attendance sheet signed daily at the operational sites.

7.) Brigade Supervisor (x64)

  • Supervise IRS teams to ensure spray quality according to best IRS practices
  • Ensure that all spray operators and team leaders comply with the best IRS practices
  • Ensure spraying is done according to environmental, health and safety standards
  • While in the field, work with communities on IRS procedures, help in the house preparation, during spraying.
  • Supervise attendance and also enforce robust community awareness about the benefit of spraying and all necessary preparations required for safer spraying
  • Supervise performance of IEC Mobilizers
  • Report ALL incident of side effect related to insecticide to the Site manager and environmental Compliance Assistant.
  • Assist IRS teams in the field if any operational or performance problems arise
  • Participate in planning of next-day IRS team movements led by a site manager
  • Develop and monitor teams’ weekly logistics and supplies and report to site managers (i.e. spray pumps, pump parts, flashlight and transportation schedule etc.)
  • Serve as master trainers for team leaders and spray operators

  • Assist in promoting the IRS activities in the community,
  • Coordinating IEC public relation activities

  • Keep and update stock cards, ledger book for each item in the operation site store
  • Stick barcode serial numbers on insecticide bottles/sachets and scan the barcode for each of the insecticide bottles or sachets you are giving out to the Team Leader,

  • Take care of the cleanliness and the good maintenance of the operation site store
  • Oversee daily store operations and maintain stocks according to prescribed inventory system
  • Ensure proper storage and identification of all IRS materials,

  • Ensure timely replenishment of needed supplies in consultation with the Logistics Assistant and Warehouse manager,

Position: Team Leader

Number required: 111 Bo district & 80 Bombali District

Supervisor: Site Manager

Specific duties:

  • Ensure every morning that their spray teams have all the necessary personal protection equipment and that it is in good working order
  • Checks the amount of insecticide in serialized sachets that each spray operator requires and ensures that he/she has all the necessary information and SOP forms required for the day’s work
  • At the of each day, he/she ensures that each spray operator properly and safely disposes of any remaining insecticide following the progressive rinse method, and that he/she thoroughly cleans his/her spray pump at a designated wash area
  • At the end of each day, report on insecticide use and ensure they are properly recorded on the SOP and TL forms
  • Supervise spray team using spray Quality checklist provided to ensure spray quality
  • Ensure that all spray operators comply with the best IRS practices
  • Ensure spraying is done according to environmental, health and safety standards
  • Allocates a number of structures to each spray operator upon arrival in a targeted village
  • While in the field, sensitize households on IRS procedures, its importance benefits and support household members during house preparation
  • Supervise attendance and performance SOPs
  • Review and verify SOP daily

 

 

Required qualifications:

  • Have experience working as CHW, resident in the catchment communities
  • Experience working as CHW Peer Supervisor will be an advantage
  • Have minimum academic qualification of GCE O Level/WASSCE
  • Demonstrated ability to lead and/or manage people
  • Be able to work under pressure with little/no supervision
  • Have good communication skills, speak one of the local languages
  • Be willing to work extra hours; have integrity and be accepted in the community
  • Experience reviewing data forms, reporting according to protocol
  • Not be pregnant (females) or lactating mothers during the spray campaign
  • Be physically/medically fit with no history of chronic respiratory infection or allergic

 

Expectations:

  • Structures are well sprayed
  • SOPs accurately record spray data on SOP form and appropriately marked structure to indicate spray status

11.) Spray Operator (954)

Position: Spray Operator

Number required: 553 Bo district & 401 Bombali District

Supervisor: Site Manager

Specific duties:

  • Each spray operator prepares his/her hand-compression sprayer for review and inspection by the spray team leader.
  • Ensure to always wear the full set of clean PPEs before beginning to mix insecticide, during the spraying.
  • Ensure to follow the household preparation procedures before spraying.
  • Ensure the correct mixing of the insecticide.
  • Ensure the correct application of the insecticide on the wall of the structure.
  • Fill in the spray operator form neatly and correctly with defined variables.
  • Ensure to mark the structure after spraying.
  • Comply with the Environmental Best Management Practices
  • Perform triple rinsing of equipment at the end of each day.
  • Laise with the storekeeper to handover all IRS materials and equipment each day from the field.

 

Required qualifications:

  • Minimum academic qualification of Basic Education Certificate Examination (B.E.C.E)
  • Have experience working as CHW, resident in the catchment communities
  • Have proven numeracy skills and be able to read and write in English
  • Be able to collect and record information accurately following instructions
  • Have experience completing data forms
  • Be strong, weigh above 50Kg and able to carry a 10kg load for 5 hours
  • Not be pregnant (Female) or lactating mothers during the spray campaign
  • Be physically and medically fit with no history of chronic respiratory infection or allergic to insecticides
  • Must endeavor/be willing to meet the minimum daily spray targets
  • Must not be allergic to insecticides.
  • Must not have any criminal or disciplinary records
  • Needs minimum supervision
  • Must be ready to being work at 05:00

Position: Pump Technician

Number required:  28 Bo District & 18 Bombali District

Supervisor: Site Manager

Specific duties:

  • Assist the spray team to achieve spray targets by diagnosing common problems with the sprayer.
  • Identify the root causes.
  • Perform the correct steps to fix common pumps problems and demonstrate proper calibration.
  • Contribute to good environmental compliance practices by ensuring proper maintenance and quick repairs of sprayer Pumps.
  • Responsible of lifespan for the spray pumps by ensuring the care and proper handling of sprayer pumps at operation sites
  • Communicate with spray operators and supervisors to help the spray team to achieve spray targets.

Required Qualification:

  • Excellent interpersonal communications and knowledge of Mende and Temne is compulsory.
  • Demonstrated knowledge of testing and calibrating the spray pump
  • Installation of Control Flow Valve and ability check the nozzle and the screen filters to ensure they are not clogged.
  • Ability to understand the internal and external parts of sprayer pumps by name.
  • Willingness and flexibility to work long hours.

Minimum qualifications:

  • Vocational training
  • Able to read and write.
  • Training/certificate in spray pump maintenance

Job Summary

_ Roles and Key Responsibilities:

  • Manage warehousing/storage facilities and all necessary equipment and supplies, ensuring they are secured and maintained in excellent physical condition and quantities consistent with established security, safety, care, and health requirements for storage and safeguarding. Ensure optimal space and resources utilization.
  • Works in close collaboration and coordination with the Logistics Manager, the Transportation Officer, and service providers to efficiently and effectively plan for and implement goods receipt, storage, and dispatch per delivery schedules.
  • Effectively manage talent and supervise. Manage team dynamics and staff well-being. Provide coaching, strategically tailor individual development plans, and complete performance management for direct reports. Monitor and assess performance to ensure adequate capacity for successful support of high quality programming.
  • Coordinate and supervise inbound and outbound goods handling and inspect and verify goods receipts and dispatches against waybills to accurately account for quantities, shortages, damages, losses, or unfit goods.
  • Implement inventory control systems for proper goods handling and accounting. Conduct cycle counts for inventory accuracy and perform regular inspections to minimize risk. Support complete physical inventories as needed.
  • Ensure the maintenance of up-to-date warehouse records (stock ledger, bin cards, loss status reports, waybills, etc.) and filing systems for monitoring, control and reference. Coordinate and oversee data recording in relevant systems. Prepare accurate and timely reports related to inventory, stock control, and warehouse activities.

 

Basic Qualifications:

  • High school diploma required, or Degree in Logistics is a plus.
  • Minimum of 3 years work experience in inventory or warehouse management with progressive responsibility and preferably with an international organization.
  • Knowledge and understanding of inventory management and control principles.
  • Staff management experience and abilities that are conducive to a learning environment, including training experience.
  • Proficient in MS Office package (Excel, Word). Experience with database management systems (e.g. MS Access) is a plus.

JOB OVERVIEW 

The Supply chain Warehouse Officer is responsible for the efficient coordination, supervision, and management of Inventory for the IRC’s Freetown Office. The position is also responsible for maintenance and policy standardization.

 

KEY RESPONSIBILITIES

The Warehouse Officer is accountable for the implementation of IRC Inventory and Warehouse management policies and is responsible for the following.

 

  • Supply Chain Planning
  •  Prepare warehousing plans, and distribution plans.

  • Materials Receiving and Dispatch

  • Potential inventory shortages and provide updates on stock level

  • Update stock cards, Bin Card, Delivery inventory system regularly

  • Arranges and Undertake 20% inventory cycle count for all stock kept in the warehouse.

This position is to assist the warehouse officer in maintaining inventory and Commodity/supplies by receiving, storing, and delivering commodities and securing the warehouse.

 

   ACCOUNTABILITIES

  • Receive sample items and receive goods in line with samples, update store records and communicate delivery notes to the country office procurement team.
  • Assist the warehouse officer in arranging stock and maintaining the cleanness of the warehouse’s internal and external space.
  • Receive approved store requests and distribution plans, accurately package items for distribution and complete warehouse dispatch documents.
  • Assist the warehouse officer to maintain an up-to-date daily casual worker request tracker with their respective contact numbers and communicate to the Administration weekly to enable payment processing.
  • Assist the warehouse officer in the dispatch of goods and maintain an up-to-date stock card on stock items per stack.
  • Assist the warehouse officer in completing stock reconciliation reports monthly and report to the supervisor on the last working day of every month.
  • Assist the warehouse officer to maintain and update an agreed uniform filling system for all documents.
  • Assist the warehouse officer to meet warehouse operational standards by communicating challenges related to warehouse management and proffering possible solutions for quality program delivery.
  • Assist the warehouse officer to maintain proper inventory by scheduling materials/ commodities to be moved to and from the warehouse; coordinate inventory transfers with stores at the chiefdom level.
  • Meets the minimum standards of the warehouse by organizing floor space; adhering to storage design principles and recommending improvements.
  • Assist the warehouse officer to maintain inventory by conducting weekly and monthly physical counts as well as reconciling variances.
  • Updates job knowledge by participating in educational opportunities; reading technical publications.
  • Accomplishes warehouse and organization mission by completing related results as needed

2.) Fleet Officer

 

Position Overview
The Fleet Officer for Kailahun District will effectively work in a team of drivers and a motorbike garage coordinator, monitoring and supervising all fleet related activities and facilitating the provision of technical support to staff during the course of operations whiles ensuring keenly that operations activities are aligned with set strategy. In being an Accompagnateur the fleet officer listens genuinely, embrace humbly and respect the voices of those we serve as well as team members.
Essential Duties and Responsibilities:

  • S/he maintain transparency in organizing fleet activities, monitoring and supervising of staff performance on a day to day basis, and provide technical support whiles helping the team to balance short and long-term priorities.

  • S/he facilitates timely renewal process of vehicle license and insurance with SLRA agent in order to avoid break in operations and as a way of helping others meet their goals.
  • S/he ensures all vehicle keys are safeguarded and identified with tags whiles anticipating problems and adjusting for changing circumstances.
  • S/he withdraws completed vehicle count sheet from the security guards for review on a daily basis identifying late parking or unauthorized use of PIH vehicle and listening to understand others’ view rather than focusing on reaction or what he needs to say.
  • S/he ensures staff involved in road are adequately supported towards submission of completed incident report form within 24hrs of the accident considering the risk created when one fails in responsibility to share such information.

  • S/he does a spot check to ensure the fleet archive is updated in a chronological order while dealing with ambiguity productively.

  • The Fleet officer-Kailahun ensures related activities to vehicle dispatch are fully coordinated in time for the vehicle to leave with required tools and equipment onboard, making it fit for the journey whiles s/he works with others towards the overall goal.
  • S/he encourages keeping luggage and passenger numbers within safety limit of the vehicle and reminds drivers to collects packages addressed to where the vehicle might be heading for whiles efficiently doing things better and less costly without compromising PIH’s values and leadership expectations.
  • In discharge of duties s/he ensures arms and ammunition are not allowed or conveyed by either the driver or a commuter on PIH vehicles while going above and beyond to work well across culture and background.

3.) Warehouse Officer, Inventory

 

Position Overview
The Warehouse Officer, Inventory is responsible for maintaining accurate inventory both physically and in OpenBoxes, PIH’s supply chain management software system. The Warehouse Officer, Inventory plays an essential role in ensuring that data is entered accurately and on time and that inventory in Openboxes is regularly updated and maintained, which directly contributes to the accuracy of PIH’s reorder and budget forecasts, as well as the success of PIH’s annual audit.

  • Confirm quantities, lot numbers, and expiration dates of items on hand in OpenBoxes are physically in stock at the warehouse
  • Ensure all items in stock physically are recorded appropriately in OpenBoxes
  • Enter inventory adjustments needed as a result of the cycle count process or annual inventories
  • Proactively identify data errors and work with supply chain team members to correct and find solutions to avoid future errors (example: new item creation, inventory adjustments)
  • Provide back-up data entry support to Freetown office supply chain colleagues as needed

4.) Warehouse Manager, Supply Chain

 

Position Overview
 The Warehouse Manager is responsible for warehouse operations including maintaining accurate inventory records and keeping goods in good physical condition in compliance with storage requirements. The position is dynamic in nature and requires ability to interact with a diverse group of stakeholders, including teams in Freetown, Boston, and at the clinical facilities supported by PIH. The role provides oversight and monitoring for the medical and operations commodities including critical medications, lab reagents, biomedical materials, administration and infrastructure materials, stationary, and cleaning materials. Duties include overseeing receiving, unloading and loading trucks, fulfilling request orders, keeping the store clean, maintaining accurate records on electronic stock cards, and updating the electronic inventory systems.
Essential Duties and Responsibilities: 
Responsibilities 

  • Maintain inventory controls over materials stored at the warehouse
  • Ensure only authorized personnel access the facility and follow all security protocols
  • Ensure all materials are distributed only after authorized programmatic approval and with a signed delivery note
  • Manage Warehouse staff and invest in professional development through training and segregation of duties within the team
  • Perform regular inventory audits to assure high level of data integrity between physical count and electronic inventory records (OpenBoxes)
  • Proactively communicate status of received from Kono suppliers, and shipments from Freetown and abroad to relevant stakeholders
  • Organize and supervise day laborers at the warehouse, including for offloading of containers and warehouse cleaning

  • Ensure incoming shipments are received in OpenBoxes a timely fashion, upon physical check of all quantities, lot numbers, and expiration dates
  • Ensure all outgoing transactions are registered in OpenBoxes at time of issue. In case of internet outage, transactions should be entered as soon as possible after internet returns
  • Ensure proper storage of all goods, including cleanliness of warehouse and abiding by specific packing requirements (height restrictions, temperature requirements, etc) of a diverse range of items
  • Communicate with Supply Chain, Infrastructure and Operations Managers when any equipment is in need of repair or replacement. Includes ACs, printer, laptops, cold chain freezers, and warehouse generator
  • Collaborate with Supply Chain Manager, Pharmacy Manager and Lab Manager to make a plan for expired goods
  • Archive signed documents for all incoming and outgoing transactions
  • Identify areas for system improvements, and potential risks and communicate to Supply Chain Manager and Operations Director

Qualifications/Requirements
  • 3-5 years of relevant warehouse management experience, or 1-3 years of warehouse experience and a degree in a related field. Relevant fields include: Humanitarian Logistics, Supply Chain, Pharmacy, similar.

5.) SECHN

 

Position Overview
Over the past 7 years, PIH has been working with the MoHS and District Health Management Team in Kono District, Sierra Leone, to implement comprehensive health systems strengthening in the district’s secondary hospital, multiple primary care sites as well as through a comprehensive community-based programs system. 

PIH-Sierra Leone is supporting the Ministry of Health and Sanitation in the implementation of the five-year World Bank funded QEHSSSP health systems strengthening project that will implement a comprehensive Hub-and-Spoke approach in 5 districts in Sierra Leone through focused investments in staff, stuff, space, systems and nutrition.

Through the project, Partners in Health, in the leadership of Ministry of Health and Sanitation, will be supporting 3 health facilities in the district (Jojoima, Buedu and Bandajuma) through comprehensive health systems strengthening approaches to develop these sites as sites for comprehensive Reproductive, Maternal, Neonatal, Child Adolescent Health and Nutrition services.

The State Enrolled Community Health Nurse (SECHN) is a critical member of the clinical staff at PIH. SECHNs work collaboratively alongside other health workers in the health facility eg CHOs, MCH Aides, CHAs and support staff to provide high quality care to patients and their families. The positions wi.ll be based in one of the health facilities in Kailahun: Jojoima CHC, Buedu CHC or Yawei Bandajuma CHC

Essential Duties and Responsibilities: 
General Nursing: 

  • Triage patients presenting to the clinic based on their level of acuity;
  • Ensures that patients presenting to the clinic are managed appropriately including identifying those who need transfer to a higher level of care.
  • Obtain and document patients’ vital signs, recognizing and responding to abnormal vital signs appropriately.
  • Maintain proper patient records through effective documentation.
  • Provide health education to the patients and their care-givers.
  • Deliver high standards of care in collaboration with the rest of the clinical team.
  • Responsible for the preparation of monthly reports to be submitted to the appropriate departments for further analysis. Display high level of commitment by being adaptable and being able to function in a busy work environment, including rotating to other units at the clinic as required
  • Maintain confidentiality and impartiality and involve families in the plan of care.
  • Promote patient/family-centered care to ensure that their needs are met.
  • Engage and participate in clinical education or in-service training as determined by the Clinical Lead of the facility, Nurse Educator or the Nursing Lead.
  • Participate in quality improvement projects and other related studies that could improve on the delivery of care to patients.
  • Perform other duties related to the role, as may be required by the Clinical Lead or Nursing Lead.

Nutrition and Feeding: 

  • Ensure that all patients are receiving the right diet according to age and diagnosis.
  • Encourage lactating mothers to practice exclusive breastfeeding.
  • Ensure that Severe Acute Malnutrition (SAM) patients are receiving their supplies according to the protocol.
  • Ensure that motherless infants are receiving their supplies according to the protocol.
  • Ensure that Moderate Acute Malnutrition (MAM) patients and care-givers are educated on the preparation of local diet.

HIV/TB Clinic:

  • Promote continuous medical education among other clinical staff.
  • Conduct pre- and post- diagnosis counseling for patients, as well as education on adherence to treatment.
  • Perform any other duties as assigned by the department lead or Clinical Lead of the facility.
  • Ensures that all emergency cases are prioritized and seen appropriately regardless of the time of the day.
  • Be willing to work or rotate to other department as determined by your supervisor or Clinical Lead.

RMNCAH Services:

  • Provide high quality antenatal, intrapartum and postnatal care to pregnant women, new mothers and their babies, including provision of the full package of antenatal care services as per the Sierra Leone national protocols and guidelines for emergency and obstetric and newborn care.
  • Do triage and monitor the vital signs of patients when needed
  • Actively participate in the identification and management of antenatal complications requiring treatment, follow-up and clinical management.
  • Provide high quality and timely basic emergency care for obstetric complications during antenatal, intrapartum and postnatal periods for both inpatient and outpatient based pregnant women.
  • Support the post-partum mothers in the PNC ward for early initiation of breast feeding and provision of essential newborn care practices.
  • Provide counselling to the pregnant women throughout the continuum of pregnancy and postpartum period including postpartum family planning services.
  • Support in provision of counselling for and provision of family planning services.
  • Rotate to other departments as the need arises.

6.) MCH Aide

 

Position Overview

The MCH Aide is a critical member of the PIH Sierra Leone team and will work collaboratively with the clinical and support services staff to provide high-quality, comprehensive maternal and newborn health services at all PIH supported and affiliated sites as required. The MCH Aid will work closely and under the supervision of the facility midwife and the Facility clinical lead.

Essential Duties and Responsibilities: 
    • Provide high quality antenatal, intrapartum and postnatal care to pregnant women, new mothers and their babies, including provision of the full package of antenatal care services as per the Sierra Leone national
    • newborn care to all infants born. Identify, liaise with the clinical team and prepare for transfer sick babies to Jojoima Pediatric Resus or other referral centre for further treatment as needed.
    • Provide routine daily postnatal care for women and infants through to 6 weeks postpartum.
    • Liaise with the midwife to evaluate postnatal patients prior to discharge and provide discharge counseling to ensure that mothers are able to care for their newborns competently and confidently.
  • Assist to ensure proper documentation is maintained in all maternal and newborn records, health registers and clinic registers.
  • Collaborate with the midwife and the rest of the staff to ensure clinical staff can provide BEmONC services in line with MOHS and WHO standards.
  • Ensure that the delivery center is protocols and guidelines for emergency and obstetric and newborn care.
  • Do triage and monitor the vital signs of patients when needed
  • Actively participate in the identification and management of antenatal complications requiring treatment, follow-up and clinical management.
  • Provide high quality and timely basic emergency care for obstetric complications during antenatal, intrapartum and postnatal periods.
  • Administer vaccines and other medications under the supervision of the midwife
  • Assist high quality normal delivery care including ensuring proper monitoring of labor through the use of the partograph and other monitoring tools in use in the department.
  • Provide daily essential kept clean and free from health hazards
  • Ensure that delivery instruments are clean, sterilized and kept in their appropriate places
  • Prepare documentation and participate in MDSR monthly reviews, including presentations for the facilities and DHMT.
  •  Collaborate with the midwife to provide clinical assessment, birth plan development, and on-going care for patients at the facilities we work in.
  • Support maternal and newborn health outreach activities in collaboration with the midwife and Facility Clinical Lead.
  • Work rotating shifts, including significant night shift coverage, and rotating “on call” weekends.
  • Other responsibilities related to the work as required.
