Job Vacancy at Tradin Organic – Project Controller (Sierra Leone)
For one of our west African operations, we are looking for a:
Project Controller
As part of its Corporate Social Responsibility, Tradin (SL) Ltd has defined areas of intervention to assist farmers, agents and cooperatives to increase the cocoa production, to address bottlenecks in the production and supply chains and to establish sustainable services.
The interventions provide initial assistance to realize an economic viable and a sustainable business relation between farmers, agents and Tradin for goods and services on the one hand and to improve quantity and quality of cocoa coming to the market through Tradin on the other hand.
The interventions are based on the ownership by farmers, agents and cooperatives of the activities under the technical assistance program.
Tradin (SL) Ltd has created a separate technical assistance department, the ‘Tradin Agricultural Development Unit’, which is an integrated part of Tradin (SL) Ltd and activities must be consistent with the company’s sourcing operations.
TASKS AND RESPONSIBILITIES
Project management:
- Participate in the monitoring of the project execution: Problem analyses, identify areas of intervention, monitoring KPI’s, reporting financially on KPI’s and identifying corresponding parameters in the traceability system, defining and preparing Budgets, assistance in the preparation of timelines for implementation and execution;
- Attending project meetings & preparing minutes of the meeting. And distribute to team internally (online & offline)
Contract management:
- Contract management with local partners, such as FSC, account managers, other assigned FSC staff, FFS, Head farmers, Nursery managers are in place and up to date
- Cost control of purchasing & processing;
- Maintain up-to-date list of contracts and other obligations.
Planning of project activities:
- Prepares activity plans and align with traceability plan if applicable;
- Communicate activities to actors after approval.
- Ensure compliance with the financial and accounting procedures;
- Ensure daily capturing in the accounting software;
- Responsible for (cost price) calculations, controlling the income, costs and other expenses, daily financial (cash) management and regular inventory checking’s (both fixed assets and stocks);
- Setting up an accurate and transparent financial reporting and budgeting / cash flow forecasting system;
- Financially manage and account for grants given by social investors in accordance with the agreed economic and social plans. (E.g.: Farmer field school);
- Analyse costs and expenses based on financial and processing data. Identify cost bottlenecks and present these to management team;
- Comparing and analysing budgeted results and actual monthly results and discuss deviations with management team to support the project(s);
- Responsible for WHT, NASSIT and PAYE procedures and keep the management team informed about results and possible future regulation changes;
- Tracing and staying up-to-date about national financial and tax laws;
- Ensure that the company records are all in good order at any time and submit month end accounts within 3 working days in the following month;
- Monthly, per project on the activities and the status of KPI’s, using to the formats given by donors;
- Accountable for an orderly financial filing system.
Implementation of Activities:
- Assist with the preparation of the required inputs for the activities (required cash and materials);
- Assist with the preparation of cash requests iro of project activities indicating projects KPI’s ahead of time;
- Verify and code expenses per activity, within the budget (quantity and price);
- Monitor the timely implementation of field activities.
Data collection:
- Assist with retaining and sharing data and pictures/ videos on executed activities and KPI’s with respective stakeholders.
Data input:
- Assistance with Input of the project data in the traceability sourcing system, the out-growers software.
Filing:
- Maintain and organized filing system per activity, KPI and reports to donors:
- Physical files;
- Electronic files in Microsoft Office;
- Cloud system filing for redundancy purpose.
Reporting:
- Reports locally directly to General Manager and Finance Manager;
- Reports monthly to Tradin Netherlands.
COMPETENCIES:
- Self-starter and able to manage her/his time and prioritize assignments;
- Able to work under extremely high time pressure to meet deadlines and maintain high standard of quality of the deliverables;
- Able to delegate work and maintain high standard of quality of work;
- Has to be confident and pay attention to detail
KNOWLEDGE & EXPERIENCE:
- Knowledge of- and two years of practical experience with ERP systems (SAP, Sage, Axapta, JDEdwards). Strong preference for practical experience with QuickBooks;
- Minimum of 2 years experience in project administration and yearly audits;
- Basic understanding of internal controls;
- Experience in contract documentation;
- Experience with MS Office (Word, Excel and Microsoft outlook);
- Has a basic understanding and practical skillset for the use of excel formulas;
- Minimum of 2 years experience in database management;
- Perfect in spoken and written English.
