Status of position: Full-Time position
Location: MSF Kenema Hospital (Hangha)
Main Purpose
Ensuring general functioning of the pharmacy and supervising pharmacy supply chain processes in accordance with MSF standards, protocols and procedures, in order to ensure its efficiency and operating availability.
Main Responsibilities
- Planning and supervising on a day-to-day basis the Pharmacy Warehouse and Medical Stock Management activities in the project, ensuring compliance of MSF standards, protocols and procedures. These activities include but are not limited to the following:
- Physically and administratively managing medical stocks in conjunction with project pharmacy manager and end-user unit supervisors and assuming responsibility for the warehouse and its contents
- Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to MSF protocols, national regulations
- Ensuring that all necessary tools and management procedures are in place in order to avoid stock ruptures, losses (expiries, damages due to bad storage conditions, temperature breach) and excess stocks. Regularly comparing stock card and software database, checking inventory levels (physical counts), keeping inventories up to date and monitoring consumption
- Checking, recording and arranging the goods received from supplier and ensuring the availability of a wide range of items for various departments (medical supplies, therapeutic foods, tools, equipment, etc.)
- Ensuring that all items are well organized and correctly stored according to their specificity, well protected, fully identified and easily accessible (cleanliness, security, access, etc.)
- Participates in the definition of distribution system for the end-user departments, including strategy and frequency for replenishment, ordering schedule, methods of calculation, flow of communication and standard operating procedures. These activities include but are not limited to the following:
- Recording all items received and issued in computer (Isystock) and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalise the budget and to ensure availability.
- Ensuring that dispensing and administration of medication take place under hygienic conditions, following MSF hygiene and infection control procedures.
- Ensure that a monitoring system is in place for collection of consumption data, surveillance activities (i.e. surveys, prescribing analysis) and reporting of medication errors, in collaboration with nursing and medical professionals.
- Participate in the supervision, monitoring and guidance for medication safety in collaboration with nursing and medical professionals
- Ensuring that a medical standard list is available for every unit.
MSF Section / Context Specific Responsibilities
- Being in charge of the order preparation for end-use units in timely manner according to the monthly schedule, stick to Good Distribution Practice
- Ensuring ‘first expired first out’ rule with possible measures through all the activities, including daily order preparation, return from the unit, shelves arrangement and cargo reception
- Ensuring monitoring temperature, humidity of the warehouse, periodical cleaning of shelves, fridges conducted by storekeepers
- Being flexible on receiving cargo even with short notice, preparing the reception and giving back the feedback
- Managing expired items the end of each month from pharmacy warehouse, collaborating with unit supervisors regarding expired items occuring from units and having accurate list of expired items in order to destruct accordingly
- Conducting stock analysis(rupture, risk of rupture, sleeping stock, overstock) on a regular basis and share Monthly Stock Report with pharmacy manager
Requirements
Education Essential, degree of pharmacy management or nursing related studies., or medical profile
Experience At least 1year certified work experience as a pharmacy manager or equivalent experience
Languages Mission language and local language essential
Knowledge Essential computer literacy (word, excel and internet)
