Job title – Project Coordinator

Reports to – Designated Project Strategic Board Representative

 

Background

SoAYL is a small youth leadership organisation that works in partnership with six secondary schools to offer a leadership development programme. After 13 years of operational management from the United Kingdom Board, this responsibility will be handed over to the management Committee in Sierra Leone.

 

Job Summary: 

The Project Coordinator will play a crucial role in facilitating the smooth transition of management responsibilities and operations from the UK charity to its established Committee in Sierra Leone. This individual will be responsible for administering and coordinating the necessary tasks, resources, and personnel to ensure a successful transfer of authority, day-to-day functions and running of the programme.

Their work will be guided by three key documents, SoAYL Transitional Management Project Terms of Reference, Transitional Management Project Action Plan and Programme.

 

The appointee will work alongside the Programme Coordinator and will be expected to uphold all SoAYL principles, especially integrity in their daily work, and demand the same from everyone they work with.

Duration of contract 1 year Contract – 3 months’ probation period

 

KEY RESPONSIBILITIES 

  1. Project Planning and Implementation:
    • Facilitate the members of the Project Strategic Board to implement the comprehensive project action plan. outlining the step-by-step process of transitioning management functions from the UK charity to the Sierra Leone.
    • Coordinate the work within and across the four strategic areas within the Transitional Management Project Action Plan.
    • Undertake research as required and provide information to the strategic groups and the Board.
    • Collaborate with stakeholders from both the UK and Sierra Leone to  ensure the alignment of  goals, expectations, and timelines for the transition.
    • Monitor the progress of the organisation for a limited period following the transition.
  2. Legal and Compliance:
    • Work closely with legal advisors and relevant authorities to ensure compliance with all necessary regulations and requirements related to establishing and operating a charity branch in Sierra Leone.
  3. Financial Oversight:
    • Monitor and manage a small budget allocated for the transitional stage, ensuring financial resources are utilized efficiently and transparently.
    • Identify any potential funding sources.
  4. Reporting and Documentation:
    • Prepare regular progress reports for the Project Strategic Board members, providing updates on the transition’s status, challenges, and accomplishments.
  5. Stakeholder Engagement:
    • Foster positive relationships with key stakeholders, including the Alumni, schools, and any current or potential partner organisations, to garner support and ensure a seamless transition.
  6. Risk Management:
    • Identify potential risks and challenges that may arise during the transitional stage and develop contingency plans to mitigate their impact.
  7. Fundraising
  • Work with the Sierra Leone Committee and the UK Board to identify funding opportunities.

 

PERSON SPECIFICATION 

WORK EXPERIENCE & EDUCATION 
EssentialDesirable
Educated to bachelor’s degree level. 

Proven experience in project coordination or management with a track record of successfully leading and implementing projects.

A bachelor’s degree in a relevant field such as Business Administration, Project Management. 

Demonstrated success in overseeing complex projects

PROJECT MANAGEMENT SKILLS
Essential Desirable 
Strong project management skills, including research skills, the ability to create detailed project plans, set clear objectives, allocate resources, and monitor progress. 

Experience in using project management tools and software to facilitate planning, tracking, and reporting.

KNOWLEDGE ABOUT CHARITIES /NGOs/ CBOs
Essential Desirable 
A solid understanding of how charitable organisations/ NGOs operate, including their, governance structures, and fundraising practices. 

Familiarity with the legal and regulatory requirements specific to charities/NGO both in the UK and in Sierra Leone

LEADERSHIP
Essential Desirable 
Ability to support and guide teams with multiple objectives.

COMMUNICATION AND INTERPERSONAL SKILLS
Essential Desirable 
Excellent verbal and written communication skills. 

Being able to communicate well  with the Programme Facilitator and stakeholders at various  levels, such as students, school staff, Alumni, Committee and board members.

Strong interpersonal skills to build positive relationships, negotiate agreements, and resolve conflicts.

Good time management.

Self-starter and ability to work with minimum supervision.

CULTURAL AWARENESS 
Essential Desirable 
Sensitivity to and understanding of, cultural differences, particularly in the context of transitioning management to Sierra Leone. Awareness of how to adapt things to ensure they work in Sierra Leone.
PROBLEM SOLVING 
Essential Desirable 
Proficiency in critical thinking, problem-solving, and decision-making, especially when dealing with challenges that may arise during the transitional phase. 

Ability to identify potential risks and develop contingency plans.

FINANCIAL MANAGEMENT AND FUNDRAISING 
Basic financial management skills to oversee budgeting, expense tracking, and resource allocation during the transitional phase. 

Basic understanding of potential funding sources and ability to submit bids.

An understanding and commitment to SoAYL’s vision, mission and principles and a passion for making a positive impact on the lives of young people in Sierra Leone.Past participant of the programme.

 

Working condition 

  • The Project Coordinator will be based in the office but may need to visit schools and other organisations.
  • The Post Holder’s working hours may include some Saturdays and occasional evenings,
