SOS Children’s Villages in Sierra Leone is recruiting an Executive Assistant who will be responsible for effective administrative and management support services to the National Director (ND), the role encompasses high ability of coordination, planning, and organizing using analytical and strategic thinking.  Responsibilities include constant monitoring of various assignments, to ensure that the ND’S vision is fulfilled and objectives are met within set deadlines.

 

The incumbent will serve as an interface between the ND and staff and as liaison with the regional and international offices.

 

Provide administrative services for the National Director. This includes: preparing correspondences, scheduling appointments, screening requests for meetings, managing and updating ND’s calendar/travel schedule and maintain a proper archiving system.

 

Monitor and track progress of various assignments and regularly update the National Director on organizational deadlines, using the management tools and dashboard.

 

He/she should collaborate with other department/units to submit all expenses relating to the ND’s office whilst following an established expense reporting and verification process (procurement guidelines).

 

The Executive Assistant will oversee the proper maintenance, storage, retrieval of files and documents order to ensure that they are accessible and secured.

 

CHILD SAFEDUARDING:

The responsibilities of the post may require the post holder to have access to children or young people. As part of these responsibilities, the post holder will promote a culture of keeping children and young people safe and ensuring that potential harm is identified, reported and addressed on a continuous basis. The post holder should comply with reporting mechanism and abide by the Child Safeguarding Policy, Code of conduct, the Sexual Harassment policy, Anti-Fraud and Anti-Corruption policy.

 

Skills, Qualifications and Experience

 

  • Bachelor or University Degree in Business Administration
  • Minimum of 3+ years of experience as an Executive Assistant/ Office Coordinator reporting to senior management, preferably with an International Non-Governmental Organization, or private sector or relevant field.
  • He/she must be innovative, passionate, problem-solving oriented, mature and highly committed
  • Must have stress and time management skills, capacity to work under pressure and team building abilities
  • Must be able to operate computerized accounting, spreadsheet and must be skillful in using Microsoft office package (Word, excel, Power point…) and other computer software packages
  • Must have an excellent command of English, be an active listener, and outstanding writing skills
  • Excellent and effective communication and interpersonal skills, very meticulous and detail-oriented, along with an ability to multi-task and analyze various types of information from various sources.

SOS Children’s Villages in Sierra Leone is recruiting an Accounts Officer who should ensure that income, expenditures and property of the Technical and Vocational Centre are well accounted. He/she is also responsible for the keeping of proper and updated accounts of all financial and property transactions of the Tech/Voc.

 

Maintain accounting documents and records and ensuring daily batching in Accounting software.

 

S/he is to work with vendors, customers, and colleagues to resolve inquiries and issues.

You are required to assist with processing of sales invoices, debtors’ statements and cash receipts on the total accounts package.

 

Under the supervision of the Finance and Controlling Manager s/he shall help secures financial information by completing database backups.

 

Skills, Qualifications and Experience:

  • Bachelor is Degree in Accounting, Financial Management or related field.

He/she should ensure that SOS Children’s Villages Education policies are adhered to within the Institute.

 

The Technical and Vocational Institute Coordinator is responsible to manage link between the Tech/Voc., relevant government line Ministries, NCTVA and TVET.

 

Implementation of SOS education, NTCVA and TVET policy and maintenance of effective daily running of the institution.

 

Preparation and implementation of budget in liaison with the Institution’s Accountant.

Responsible the authorizing the institution’s expenditures, distribution of resources, checking of inventories- equipment/textbooks/resources.

Our Work In Sierra Leone:

Partners In Health (PIH) began supporting the government of Sierra Leone in response to the Ebola epidemic in October 2014. Recognizing the large need for continued investments in the health system after Ebola, PIH is committed to long-term health system strengthening in support of the Ministry of Health and Sanitation (MOHS), guided by the same principles as our emergency response and our work around the world: public sector accompaniment, integrated and comprehensive services, social justice, nimbleness and flexibility, partnership, community ownership, and evidence-based interventions. In the aftermath of the epidemic, PIH is committed to supporting the delivery of comprehensive health services in Sierra Leone, from the community level to the health center and to referral hospitals.

 

 

Position Overview:

This position provides support to the Warehouse and Supply Chain Management (SCM) team so that all medical and lab supplies are stored optimally, including attention to cold chain.

Work in Collaboration with the MOHS team within the DHMT (Kono) and Koidu Government Hospital (KGH) as well as with representatives of national programs including Central medical stores, the national HIV and TB programs, and the malaria and nutrition programs. Works closely with the MOH pharmacists at Lakka Government Hospital and Sierra Leone Psychiatric Teaching Hospital to ensure pharmacy structures are maintained.

 

 

Essential Duties and Responsibilities:

  • Warehouse and Inventory Management
  • In conjunction with the Supply Chain Management & Operations teams, implement standard operating procedures in warehouse and stock management for PIH-SL supplies; become proficient in Open Boxes, such that you can provide assistance in the training and operations of Open Boxes, PIH’s inventory management software.
  • With the Clinical and SCM teams, analyze consumption data to develop a re-supply and ordering schedule for all medications and medical consumables.
  • Provide support to Warehouse and SCM team so that all medical and lab supplies are stored optimally, including attention to cold chain.

  • Serve as the primary pharmacist for the Wellbody Alliance Primary Care Clinic. Within these different health facilities, work to strengthen pharmacy and healthcare delivery through ensuring that national standards are met, improved reporting systems, and facilitating PIH-SL’s ability to “fill the gap” within the national healthcare system and to ensure that PIH-SL shared objective of creating “model district” in the implementation of national healthcare programs. Works closely with the MOH pharmacists at Lakka Government Hospital and Sierra Leone Psychiatric Teaching Hospital to make sure supply chain is managed well and accountability of drugs are maintained.

 




 

Pharmacy Management

  • Responsible for the design and implementation of process of Pharmacy Services in Kono districts.
  • Serves as PIH-SL’s representative at national programs, such as HIV, TB, malaria and malnutrition with the goal of becoming a “model district” for these national programs.
  • Interface closely with Clinical and MEQ teams to ensure accurate reporting and inform forecasting process.
  • Collaborates with PIH operations team to identify opportunities to leverage PIH operations capacity to support KGH, Primary care Health facilities and WBA.
  • Accompany MOHS district pharmacy staff and PIH-SL staff, providing visible leadership, professional clinical supervision and mentorship.

Position Overview:

The CAO will be responsible and accountable for the day-to-day organization of the central archives at KGH. S/he will work closely with the eHealth team to build and to align all medical records workflows with the existing ones and with minimal disruption. The CAO will also work with Health-Statistics/M&E team to create and maintain administrative and technical environments suitable for optimal data confidentiality, patient records privacy and preservation of the physical integrity of the patients’ charts. FG Gold Limited was recently awarded the Baomahun Gold Concession located in Valunia in Bo District and is currently at the development stage. To support the project development, FG Gold Limited is recruiting a qualified Sierra Leonean to fill in the Receptionist position based in Freetown.

Responsibilities

The Receptionist is the front desk point of contact responsible for providing a wide range of clerical and front desk support services such as transfer calls, schedule appointments, answer questions, give directions, manage the flow of traffic in the office and offer administrative support to the Administrative Coordinator and the Freetown Office.




  • Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
  • Answer, screen, and forward incoming phone calls.
  • Receive, sort daily incoming mail and ensure they are directing to the correct recipient in a timely manner.
  • Manage outgoing mail and packages for pick-up.
  • Set up and maintain incoming and outgoing mail records.
  • Schedule appointments.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)




  • Provide basic and accurate information in-person and via phone/email.
  • Prepare meeting and training rooms for use.
  • Assist other departments in clerical tasks when required.
  • Maintain office security by following security and safety procedures.
  • Control access via the reception desk (monitor logbook, issue visitor badges).
  • Ensure the accuracy of the timesheets for Freetown office.
  • Order front office supplies and keep inventory of stock.
  • Assist with various administrative tasks, such as copying, faxing, and taking notes.

Skills and Experience

  • Diploma in Business Administration or Secretarial Studies required.
  • Good command of MS Office such as Excel, Word, PowerPoint.
  • Minimum of 4 years proven work experience as a Receptionist, Front Desk Office Representative or similar role required.
  • Experience in highly pressurized work environment required.
  • Professional attitude and appearance.
  • Solid written and verbal communication skills.
  • Customer service attitude.

Nectar Sierra Leone Bulk Terminal (NSBT) is part of The Nectar Group which has had a presence in Freetown since October 1988 when they first assisted in bagging imported rice from bulk vessels. In 2015, Nectar took over the Bulk Terminal in Freetown, Sierra Leone, employing 80% of Sierra Leone nationals. In 2016, the port was recognized by the ‘Best Dry Bulk Port’ award at the IBJ awards.




Nectar Sierra Leone Bulk Terminal (NSBT) was successful in winning a tender issued by the Government of Sierra Leone in 2014 to run the bulk terminal at QEII port. The company has set out to meet international high standards in all aspects of operations and has invested significantly in equipment and infrastructure to provide the necessary services needed for all areas of port operations. New handling equipment, improved warehouses, security, and lighting have all been implemented to provide a better user experience.

Nectar Sierra Leone Bulk Terminal (NSBT) is seeking applications from qualified candidates to fill the below position.

  1. Summary:




Tally clerk’s primary responsibilities are to execute the vessel operations such as offloading, segregation, receiving, loading of shipment, and preparing necessary documents:

  • Proper and accurate recording of cargo discharged/loaded from the vessel in tally sheet with date and shift, shed/ berth no., vessel’s name, hatch no gang no. etc
  • Record all details of the packages/containers loaded or discharged such as description, marks/container no weight, condition of packages/seal no., timing of commencement, and completion of the operation for each sling.
  • Document and report any discrepancies between the cargo mentioned in the document and the cargo being delivered
  • Report on the condition of cargo received to shed superintendent whether damaged/ “nil” marks / in loose condition.
  • Take note and report any stoppage or idling times of the vessel.
  • Carry out hatch inspection to determine the condition of cargo before discharge
  • Conduct accurate reconciliation of daily discharge operations with other parties involved in the operations.



  1. Qualifications & Experience. 
    1. High school certificate or Diploma
    2. Minimum of 4 years experience in a similar role.
    3. Computer packages certification
  1. Knowledge, Skills & Attributes.
    1. Good communication skills; both oral and written,
    2. Detail orientation and numerical aptitude to process a large number of cargo discharge
    3. Knowledge in ISPS code is an added advantage
    4. Ability to work individually and as part of a team.
    5. Knowledge of industry safety practices and Safety Management
    6. Ability to stand and concentrate for long periods of time
    7. Ability to stand, crouch, and occasionally lift heavy equipment.
