Position Overview
The Finance and Administration Manager (FAM) is responsible for ensuring effective financial management, office administration, human resources, and operational oversight for One Girl Sierra Leone. The FAM will provide strategic advice, maintain compliance with donor and regulatory requirements, and support smooth program and office operations. This role combines financial leadership with operational and HR management to enable the organization to deliver programs efficiently and sustainably
Key Responsibilities
Financial Management
- Develop, implement, and maintain robust internal control systems and financial policies.
- Monitor program and operational budgets, ensuring compliance with approved allocations.
- Lead monthly cash request planning, fund transfers, and cash flow monitoring.
- Oversee month-end closing, financial forecasts, reports, and variance analysis.
- Manage bank accounts, reconciliations, wire transfers, petty cash, and all accounts payable including suppliers, taxes, and staff deductions.
- Provide financial advice to senior management for strategic planning and decision-making.
- Analyze and report risks, inconsistencies, or potential fraud, and ensure proper record keeping and documentation.
- Act as the primary liaison for banks and finance-related stakeholders.
Administration & Operations
- Oversee day-to-day office operations and ensure smooth running of One Girl’s offices in Freetown and Mile 91.
- Manage office systems including IT support, internet, phone services, and office equipment maintenance.
- Coordinate registration and compliance with relevant government agencies (SLANGO, MBSSE, MoPED, FCC).
- Supervise Finance and Administration staff and ensure proper workflow, reporting, and operational efficiency.
- Manage organizational assets, procurement for program activities, and oversee asset tagging and disposal processes.
Human Resources
- Maintain compliance with HR policies, local labour laws, and One Girl’s Staff Handbook.
- Facilitate payroll, salary payments, and ensure accurate tax deductions (PAYE, NASSIT).
- Manage recruitment, induction, appraisals, mentoring, and training of Finance/Administration staff.
- Maintain accurate HR records and conduct exit interviews for departing staff.
Qualifications and Experience
- Master’s Degree in Accounting, Finance, Business Administration, or related field.
- 7–10 years of progressive experience in financial and administrative management in medium to large donor-funded organizations, preferably INGOs.
- Strong understanding of financial management, administration, operations, HR, and project management processes.
- Experience with accounting software (e.g., Hopscotch), databases, Microsoft Office, and Google Drive.
- Knowledge of INGO financial regulations and budgetary procedures.
- Commitment to women’s rights, gender equality, and organizational mission.
