Position Description
Job Profile
To work closely with the programme team in supporting management of the Freetown office vehicles including maintenance and support planned usage for field trips to ensure trips are well coordinated with relevant programme staff
Responsible for driving staff and visitors to the field and within Freetown
Provide support to the office administration and finance sections, including conducting business with the bank, government offices and related duties
Ensure CAFOD vehicles are in good upkeep
Job Scope
This role works with all staff in Sierra Leone as well as visitors from across the organisation. The role will also come into contact with CAFOD Partners and the communities we work with.
Accountability
The post-holder reports to the Finance & Admin Manager
The post holder has no management and budget responsibilities
Key Responsibilities
Driving and associated Duties (90%)
Undertake long and short distance field trips as driver with programme staff within Sierra Leone, and to prepare vehicles and obtain necessary paperwork for such trips.
Working in collaboration with programme staff, agree on the allocation of vehicles for field trips
Ensuring that vehicle equipment, tools, first aid kits and related items are kept in order and available for use
Ensure vehicle movements tracked appropriately
Maintain transport systems/policies as per CAFOD’s vehicle policy
Plan and prepare activities related to driving including daily, weekly and monthly work schedules.
Undertake town driving and office messenger duties in and around Freetown, including expediting paperwork and documents with Government Ministries, local authorities and CAFOD partner agencies, among others.
Drive staff and visitors in and around Freetown including airport pick up and drop off as may be required; and to look after visitors as requested.
Check the office vehicles daily to establish the status of the vehicles, which includes normal routine procedures, i.e. condition of oil, fuel, brakes, clutch, tyre pressure, spare wheel, tool kit, etc. If anything is found to be faulty, to take appropriate action by submitting the repair request to the line manager and/or relevant officer if on a trip, seeking appropriate assistance and repairs.
Maintain transport records and documentation required by traffic law or local governing bodies, including records of renewals of motor vehicle documentation, i.e., licenses, insurance and other relevant transport documents that may be required from time to time.
Keep abreast of legal procedures and obligations conforming to the local authorities and national laws including traffic rules and regulations and changes of legislation at the motor vehicle registry. This should include ensuring that all passengers wear seat belts and to comply with CAFOD speed limits and driving standards when on the road.
Ensure that CAFOD vehicles are always kept clean and to ensure they are properly and securely parked in the compound and during field trips to maximize space for visitor’s vehicles.
Ensure each vehicle has a logbook and staffs are aware of information they are expected to record.
Brief visitors on policies and practices in relation to travel in-country
Administrative Duties (10%)
Responsible for managing external staff visitors travel itinerary in terms of pick up and drop off
Delivery of documents and letters around town and paying bills as requested by the line manager.
Carry out duties in adherence to Security Policy.
Receiving and ordering deliveries and taxis as requested by staff members and visitors.

At least 5 years driving experience with an NGO
Good understanding and experience of security procedures in Sierra Leone
Clean driving licence and knowledge of driving in/around Sierra Leone
