ABOUT THE PROGRAMME

 

In 2022, the Mastercard Foundation in partnership with BRAC International (BI) announced an initiative that is creating a positive and measurable impact for 1.2 million adolescent girls and young women and 9.5 million people across seven countries in East and West Africa, including Ghana, Kenya, Liberia, Rwanda, Sierra Leone, Tanzania, and Uganda.

 

There is mounting urgency to support adolescent girls and young women (AGYW) living in poverty, which was further amplified by the global pandemic. Through this partnership, scalable economic development approaches are being delivered in communities to foster the agency and voice of AGYW. They will have the opportunity to fulfill their aspirations, achieve sustainable livelihoods, and engageΒ in advocacy issues.

 

BRAC Sierra Leone is implementing an integrated and holistic model to address the various life cycles of a young woman living in poverty, ensuring she is able to transition safely from adolescence to adulthood. She will be equipped with the appropriate skills, tools, and access to finance to effectively exercise her agency and build a fulfilling and productive livelihood.

Programme:Mastercard Foundation Accelerating Impact for Young Women in partnership with BRAC (AIM)
Job Title:Admin and Finance Officer AIM
Reporting to:Regional Manager

JOB PURPOSE:

To ensure better financial management and inventory management at Regional Office level.

 

KEY DUTIES AND RESPONSIBILITIES:Β 

Financial Management 

  • Maintaining financial systems through accurate record keeping.
  • Providing financial support operationally to the staff team
  • Assist with efficient and accurate bookkeeping and records management of financial accounts, procurements, including regular reconciliation activity.
  • Reconcile monthly bank statements
  • Administer, track and record staff expenses related to programme activities
  • Provide documentation to facilitate programme operations.
  • Verification of supporting documents, timely payment, timesheets, ensure transparency in financial transactions, update cash book and other registers like stock register for program supplies, prepare voucher and post entries to the accounting system,
  • Assisting regional accountant in preparation of the monthly accounts, visiting branch offices, persevering files and supporting documents, any other task assigned
Administration, Procurement & Logistics Management 

  • Ensuring that visitors, staff from other field locations and service providers receive the best reception services and that their needs are swiftly met.
  • Ensure the safety of all BRAC property including fire safety, availability of first aid and general safety management.
  • Continuous improvement of the organisational image through ensuring proper office layout and outlook by maintaining the office environment clean, well-organised and attractive to provide staff with the comfort to perform their duties uninterrupted.
  • Place procurement requests for office equipment and supplies on a timely basis and at right quantities.
  • Assist in filing and recording of both hard and soft copies of documents.
  • Receiving of items and stocks, signing of delivery notes and preparing of GRNs and challans.
  • Count and verified Stocks/items received using the stock requisition form or purchase order
Asset and inventory managementΒ  

  • Ensure all BRAC property and equipment (air conditioners, copiers, fire extinguishers, generators, electric appliances, etc.) are safeguarded and maintenance accordingly through regular service contracts as required.
  • Maintain a full inventory of room register of all BRAC assets
  • In collaboration with IT and Finance maintain the Fixed Asset Register in accordance with BRAC policy.
  • Ensure at least one physical count every six months of the Inventory and Fixed Assets and produce the report to management and advise management on disposal plans.

 

SAFEGUARDING RESPONSIBILITIES

 

  • Read, understand, practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  • Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.

 

REQUIRED SKILLS AND COMPETENCIES:

 

  • Skills in accounting software
  • Competent at MS Word and Excel
  • Competent at store keeping

 

EDUCATIONAL REQUIREMENTS:

  • First Degree in Business Administration, Accounting or Finance

 

EXPERIENCE REQUIREMENTS:

  • Two years’ experience in areas of finance and admin will be preferred
