1.) House Keeper

Background

The German Doctors e.V. (GD) is a charitable non-governmental organization with legal capacity registered in Sierra Leone, focusing on the provision of medical services for the poor and underprivileged people with limited access to medical treatment. Since 2010, GD has been working in Sierra Leone, supporting national non-governmental organizations to implement projects on health and social protection issues.

German Doctors e.V., in partnership with MoH and other INGOs, is working closely with the School of Clinical Sciences Makeni to provide pediatric trainings for students that have graduated from the School of Clinical Sciences Makeni. The aim of the pediatric training program is to train pediatric clinical officers. This new cadre should be able to provide a high level of clinical care for children and neonates, in close collaboration with medical Doctors and specialists in the hospitals.

The organization seeks to engage a qualified external auditor to perform annual audit services for our project accounts in accordance with applicable accounting and auditing standards and a housekeeper that will assist the doctors and lecturers who will be residing in Makeni and be responsible for maintaining the training venue and dwelling facility.

JOB TITLE: HOUSE KEEPER

Job Summary 
We are looking for a highly motivated and reliable individual to join our team as a housekeeper. In this role, the housekeeper will assist the doctors and lecturers who will be residing in Makeni and be responsible for maintaining the training venue and dwelling facility. The housekeeper will also ensure the safety and security of the residence.

Position within the organization

The post holder will be based in Makeni and will report directly to the Finance and Administrative Coordinator. He/she will work closely with other staff and visitors coming to the house.

Key Responsibilities:
Housekeeping 

  • Clean and sanitize the house and training venue.
  • Restock cleaning supplies and order new supplies as needed.
  • Maintain inventory of cleaning equipment and supplies.
  • Report any damages or safety hazards.
  • Assist with special cleaning projects as assigned.
  • Provide excellent service to visitors and staff.
  • Ensure the generator is in excellent working condition and report damage when needed.
  • Maintain open and positive communication with other staff members and visitors.
  • Keep the environment of the house safe and clean at all times.
  • Any other duty assigned by your line manager

Security and safety 

  • Regularly inspect the property to look for any possible safety concerns or security breaches.
  • React quickly to security incidents and alarms, such as crises, suspicious activities, or unauthorized access.
  • Keep track of any security events and breaches and notify the relevant authorities or property owners.
  • Control access to the property by making sure contractors, guests, and maintenance staff are who they say they are.
  • As needed, issue and keep track of keys, access cards, or codes.
  • Verify adherence to all security and safety laws.
  • Continue to communicate effectively and clearly with the building’s occupants and the line manager.
  • Frequently provide reports and updates on the state of security and any occurrences.
  • Make suggestions and put them into action to strengthen the property’s security measures.

Required skills and experience 

  • Previous experience in housekeeping or a related field is preferred.
  • Ability to work independently and manage multiple tasks simultaneously
  • Strong attention to detail and commitment to maintaining cleanliness and organization

Preferred Skills and Qualification

  • At least a WASSCE certificate
  • Strong work ethic and ability to prioritize tasks
  • Ability to work flexible hours, including nights and weekends as needed
  • Effective written and verbal communication skills
  • Knowledge of basic cleaning procedures and safety precautions

We offer
A contract, preferably from 1st August, 2025. The contract will last for one year and includes a renewal option that depends on funding and performance.

Purpose and objective of the Audit

Through this audit, the auditor will confirm the accuracy of German Doctors’ accounts and annual financial statements. The audit should review the system and procedure of German Doctors accounting and financial management and make comments, express their opinion and give recommendations. It will check if all amounts received and cost incurred in 2024/2025 financial year are in accordance with the relevant policy of the organization.  It will see whether financial statements are up to date, error-free, trustworthy, and indicate the right picture with regards to the organization’s financial health. At the end of audit, the auditor will generate a report of findings, which provides an overall picture of its financial standings.

Scope of the work

The Selected auditing firm or individual will work with the team to look over the financial records and give a professional, unbiased opinion to meet the needs of the project and the organization. The following functions make up this assignment:

 

  • Perform audits that are statutory by Sierra Leone law and follow the International Standard on Auditing (lSA) must be done.
  • Plan and set up the audit based on a risk assessment that gives enough confidence that the financial records are correct and don’t contain any errors or fraud.
  • Make sure that the organization has used the donor funds for what they were meant to be used for and that they have been accounted for according to the terms of the funding agreement.
  • Make sure that the money German Doctors have received is shown and recognized in the financial documents sent to users and donors. 
  • Review and report on effectiveness of the organization’s internal control systems in accordance with the International Accounting standards.
  • Assess the organization’s financial management system, human resource processes, procurement procedures, and funding structure, and provide a report on its effectiveness.
  • Evaluate the organization’s compliance with the relevant legal and regulatory obligations as established by the relevant government agencies.
  • Provide a professional evaluation of the financial statements’ accuracy and justice in all material respects.
  • The auditors will produce a comprehensive Management Letter that includes the following in addition to the audit report:

 

  1. Comments and observations concerning the accounting records, procedures, systems, and internal controls that were examined during the audit.
  2. The identification of specific vulnerabilities or deficiencies in systems and controls, as well as actionable recommendations for improvement.
  3. Communicate any significant issues that were identified during the audit that may affect the organization’s long-term sustainability.
  • Bank Reconciliations: The auditor will examine the bank statements and reconcile them with the financial records.
  • Assets and Liabilities: The auditor will verify the accuracy of recorded assets, including fixed assets, and liabilities.

 

Deliverables

  • Audit Report: The auditors, on completion of the audit work, will submit 5 (five) original copies of the audit report appended to the financial statements along with the reports to the attention of the country representative.
  • Management Letter: A management letter will be provided in accordance with the scope of work described earlier.
  • Exit Meeting: A meeting with German Doctors e.V.’s management to discuss the preliminary audit findings.

Audit Duration:

The audit work shall be completed within three weeks from the date of commencement of the audit.

Required profile of the audit firm

The auditor should meet the following criteria:

  • Be a qualified and licensed auditor with experience in auditing NGOs or similar non-profit organizations.
  • Demonstrate experience with International Financial Reporting Standards (IFRS) and the applicable local accounting standards.
  • Ability to provide an independent, impartial, and professional audit opinion.
  • Experience in assessing internal control systems and identifying financial risks.
  • Strong communication skills to effectively present audit findings to management.

 

RESPONSIBILITIES OF GERMAN DOCTORS E.V.

To facilitate the audit process, GD is responsible for:

  • Providing all relevant financial records, including receipts, bank statements, ledgers, and financial reports.
  • Ensuring that staff members are available to provide necessary information and clarifications.
  • Responding promptly to any queries from the auditor and providing all required documentation.
  • Cooperating with the auditor in scheduling meetings, fieldwork, and report presentations.

 

AUDIT FEES:

We expect the auditor to present a financial proposal that outlined the professional and all other cost related to the audit at the stage of application

TENDER SUBMISSION

The auditor or audit firm that meets the above criteria is requested to submit their proposals as follows:

  • Confirmation of the firm’s understanding of the Terms of Reference (TOR), along with its capacity and capability to deliver on the TOR.
  • Methodology, work plan, timelines for undertaking and completing the assignment, and the expected deliverables.
  • Appropriate references to demonstrate the experience of the auditor.
  • CVs of key staff proposed to carry out the assignment.
  • Financial proposal, indicating the proposed fees and expenses.

The auditor or audit firm should also include the following documents with their proposals:

  • Proof of registration and partners’ practicing certificates.
  • Confirmation of having undergone a Quality Assurance Review.
  • Confirmation that the firm, partners, and key staff are not aware of any conflicts of interest with respect to the organization.
