Partners In Health (PIH) began supporting the government of Sierra Leone in response to the Ebola epidemic in October 2014. Recognizing the large need for continued investments in the health system after Ebola, PIH is committed to long-term health system strengthening in support of the Ministry of Health and Sanitation (MOHS), guided by the same principles as our emergency response and our work around the world: public sector accompaniment, integrated and comprehensive services, social justice, nimbleness and flexibility, partnership, community ownership, and evidence-based interventions. In the aftermath of the epidemic, PIH is committed to supporting the delivery of comprehensive health services in Sierra Leone, from the community level to the health center and to referral hospitals.

Position OverviewThe warehouse Assistant supports the warehouse officer by overseeing the monitoring of daily warehouse activities, ensuring that processes are followed accurately, and maintaining accurate records of inventory, filing, complete stock management tools and stock management systems according to set standards.Essential Duties and Responsibilities: 

Key responsibilities:

  1. Receive and store appropriately drugs, medical consumables and supplies, laboratory reagents and consumables managed under Kono Pharmacy Warehouse, and all non-clinical materials and equipment managed under Kono non-clinical warehouse.
  2. Provide high quality customer services to program requestors
  3. Ensure that every single product transaction in the stock is well recorded and updated in Openboxes e-management system and on respective paper-based stock card
  4. File stock cards of the stocked out items systematically.
  5. Regularly monitor refrigerators and room temperatures to ensure medicines and stock are kept at appropriate conditions.
  6. Follow good picking practices and ensure all items are properly stored in their designated bin locations after picking.
  7. Ensure that inventory is rotated according to the FEFO (First Expiry, First Out) principles to minimize expiries.
  8. Ensure the cleanliness of the warehouse
  9. Track all expired pharmaceutical inventory through the inventory control system to ensure that no expired products remain on shelves/pallets.
  10. Alert the warehouse officer about potential shortages or stock-outs of products anticipated within the next three months.
  11. Collaborate closely with the Warehouse Officer and other team members to ensure smooth operations, including any planned physical inventory checks.
  12. Ensure all shipments are thoroughly checked before leaving the warehouse.
  13. Execute additional tasks as assigned by supervisors.

Required Skills and Competencies:

  1. Knowledge of inventory management principles and best practices.
  2. Ability to follow established processes and experience implementing process improvements.
  3. Knowledge about the good storage practice of pharmaceutical products and other health commodities
  4. Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and countries.
  5. Openness to change and willingness to explore new ideas; adapting to different situations and being open-minded
  6. Adhering to moral and ethical principles in all actions and decisions, demonstrating integrity and honesty in professional and personal interactions.
  7. Proficient in using inventory management software and Microsoft Office applications
  8.   Excellent communication and teamwork skills.
  9. Physical ability to lift and move heavy items.
  10. Ability to operate warehouse equipment such as forklifts, pallet jacks, and hand trucks (if applicable and required).
  11. Proven ability to learn new electronic management Information systems (e-LMIS) quickly.

Preferred: 

  • Experience with international pharmaceutical and/or medical warehouse operation
  • Interest in social justice.

Qualification:

  1. High school diploma or equivalent with a proven certificate or diploma in logistics, supply chain management, or a related field is a plus.
  2. Minimum of 2 years of experience in warehouse operations, preferably in a medical or humanitarian organization.
  3. Knowledge of fundamental warehouse operations and inventory control procedures.

  1. Participate in the receiving process of incoming goods, ensuring accurate documentation and filing, inspecting for damages or discrepancies, and promptly reporting any incidents.
  2. Process and prepare approved requests, ensuring accurate and timely dispatch of orders.
  3. Assist in organizing and arranging the warehouse to optimize space utilization and efficiency.
  4. Contribute to maintaining accurate inventory records by conducting regular cycle counts and assisting with complete physical inventory checks.
  5. Implement and maintain quality control procedures within the warehouse.
  6. Maintain cleanliness and orderliness of the warehouse to ensure a safe working environment.
  7. Provide mentorship and support to junior warehouse staff as needed.
  8. Participate in team meetings and contribute to continuous improvement initiatives.
  9. Assist in implementing and maintaining warehouse security procedures and policies.
  10. Collaborate closely with the Warehouse specialist and other team members to ensure smooth operations, including any planned physical inventory checks.
  11. Alert the warehouse specialist about potential shortages or stock-outs of products anticipated within the next three months.
  12. Generate weekly and monthly reports on the receipt, distribution, and damage of goods.
  13. Execute additional tasks as assigned by supervisors.
  14. Prepare distribution lists and manage the distribution of products to PIH-SL supported sites. Additionally, prepare the distribution report.
  15. Perform all warehouse activities in compliance with established Standard Operating Procedures (SOPs) and warehouse operation process maps.

  12. Ability to bend, stoop, kneel, reach, and climb to perform work. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 20Kg and heavier weights with the proper equipment such as forklift.

Preferred: 

  • Experience with international pharmaceutical/or medical supply chain
  • Interest in social justice.

Qualification:

  1. Pharmacy technician, Bachelor’s degree in Logistics & Supply chain management or related field.
  2. Having at least 2 years of relevant work experience, or 1 year of experience and a degree in a related field. Relevant fields include: Warehousing, Humanitarian Logistics, Supply Chain, International Development, Pharmacy, or similar.
  3. Previous experience in warehouse operations, inventory management, or related fields is preferred.
