| Job Title: Procurement Assistant | Reports to: Procurement Manager |
| Department: Operations / Procurement Unit | Duration: 1 Year with possibility of renewal |
Job Summary:
You will coordinate local procurement activities and processes to acquire goods and services in support of the delivery of high-quality programming. Your knowledge and experience will allow you to successfully coordinate the quality and efficiency of procurement and purchasing activities and ensure stewardship, integrity, transparency, and accountability.
Roles and Key Responsibilities:
Procurement purchasing, Sourcing and recording
These should be included. Sourcing Non clinical items, RFQ, CBA and inputting Purchase orders to the QuickBooks system.
Become a bridge between stores and Procurement and report any procurement related issues, Quality and issues with suppliers to the Procurement manager
Ensure all the documentation filled out by the user department is correct before a procurement activity commences.
Proactively identify data errors and work with supply chain team members to correct and find solutions to avoid future errors
Assist with data entry of supply records
Enter and follow up requests for local procurement into the procurement tracker Identify all potential suppliers available in the market along with the Procurement Manager for monthly purchases
Do monthly Market shopping for Prices on all procurement purchases.
Assist the Procurement Officer with the day-to-day running of the Procurement Unit. Ensure inspection and receiving purchased items processes up on delivery against PO and supplier invoice. Ensure all invoices are correct compared to the good receipt note and Purchase order Print inventory forms, Stock take worksheet every month as needed
Compile all the procurement documents sequentially for proper filling and register Together with the procurement officer and Manager, assist in Implementing strategic, timely, high quality and cost-effective procurement including sourcing strategy and supplier selection Basic Qualifications
- Basic computer skills- Microsoft office and Outlook. Data entry software would be an added advantage.
- Good attitude, Honest and with very high integrity.
- willingness to work hard and to learn
- Strong attention to detail.
- Diploma in Procurement or any related relevant certificates.
- Minimum of 2 years’ work experience in procurement/purchasing management. Required Languages – English and Krio

Internal: Procurement Team, Country Director, Program Team, Admin, Finance and HR External: AWC Suppliers and Service Providers
