Position Summary:
The Administration and Finance Officer at AIT is responsible for overseeing day-to-day administrative operations, financial management, human resources, student admissions, and institutional marketing. This multi-functional role ensures operational efficiency, financial accountability, regulatory compliance, and excellent service delivery across departments. The officer serves as a key support to academic and executive leadership and plays a critical role in institutional sustainability and growth.
Key Responsibilities:
A. Financial Management and Reporting
Manage budgeting, accounting, and financial reporting functions in line with institutional and national standards.
Collect tuition and other fees; maintain accurate financial records of all student payments and receipts.
Prepare monthly, quarterly, and annual financial reports for senior management and external stakeholders.
Ensure timely bank reconciliations, invoice processing, and payroll management.
Support audits, grants management, and financial compliance with legal and accreditation standards.
B. Administrative Operations
Oversee general campus administration including office supplies, records management, and vendor coordination.
Maintain efficient student records (physical and digital) including registration, transcripts, and identification cards.
Liaise with external partners such as utility companies, municipal bodies, and government agencies as needed.
C. Admissions and Student Services
Coordinate the student admissions process: application review, interview scheduling, offer letters, and registration.
Organize open days, admission drives, and outreach programs to attract prospective students.
Serve as a point of contact for students and parents regarding admissions, fees, and documentation.
D. Marketing and Communications
Promote the institution's programs through digital and traditional marketing strategies.
Collaborate with the IT and Communications units to maintain updated websites and social media platforms.
Assist in the development and distribution of promotional materials such as brochures, newsletters, and banners.
E. Human Resource Management
Maintain personnel files, employment contracts, and timekeeping records for all employees.
Support staff recruitment, onboarding, leave management, and performance evaluations.
Enforce institutional HR policies, employee code of conduct, and workplace regulations.
Qualifications and Experience:
Required:
Bachelor’s degree in Business Administration, Accounting, Management, Finance, or related discipline.
At least 3 years of relevant experience in administrative and financial roles.
Proficiency in accounting software (e.g., QuickBooks, Sage), Microsoft Office Suite, and HR systems.
Strong understanding of budgeting, payroll, and reporting procedures.
Preferred:
Experience in higher education administration or non-profit financial management.
Marketing or communications experience, especially in student recruitment or educational branding.
Familiarity with Sierra Leonean laws and tax regulations affecting education institutions.

Position Summary:
The Dean of Academic Affairs and Information Technology Officer is a dual-leadership role responsible for overseeing all academic programs, faculty development, curriculum implementation, and quality assurance, while also managing the institution’s information technology systems and infrastructure. The position ensures the delivery of high-quality education and the integration of digital tools to support teaching, learning, and administration at AIT.
Key Responsibilities:
A. Academic Affairs Leadership
Provide strategic academic leadership for curriculum design, development, and implementation.
Supervise faculty recruitment, appointment, evaluation, and development.
Oversee academic policies, grading standards, and academic advising practices.
Lead program accreditation, reviews, and continuous quality improvement.
Coordinate academic calendar, class schedules, and course registration.
Teach courses within his/her area of expertise.
B. Faculty and Student Engagement
Support faculty in instructional innovation, pedagogy, and professional development.
Address student academic concerns, grievances, and academic integrity issues.
Promote inclusive, student-centered learning environments.
C. Information Technology Management
Oversee campus-wide IT infrastructure including internet, networks, servers, and hardware.
Supervise the use of Learning Management Systems (LMS) and Student Information Systems (SIS).
Ensure cybersecurity policies, data protection, and systems integrity.
Support online learning platforms, digital classrooms, and technology-enabled teaching.
Lead the planning and implementation of technology upgrades and IT-related projects.
D. Strategic Planning and Institutional Support
Participate in institutional strategic planning, budgeting, and policy development.
Represent the academic and IT units in executive meetings and external partnerships.
Prepare reports, proposals, and institutional documentation for regulatory bodies.
Qualifications and Experience:
Required:
Doctorate or Master’s degree in Education, Information Technology, Business, or any other academic field. Candidates who are currently pursuing a Master’s or Doctorate degree will be accepted.
Minimum 2 years of academic administration and IT management experience.
Proven experience in curriculum development, faculty management, and digital learning systems.
Strong knowledge of higher education accreditation, teaching standards, and ICT systems.
Preferred:
Experience working in a tertiary institution in West Africa.
Certifications in IT project management, cybersecurity, or digital learning tools.
Familiarity with Moodle, Google Workspace, Microsoft 365, and ERP systems.
