ORGANIZATIONAL CONTEXT
The Job holder report to a Head of Unit, Administration Officer.
At this level job holders are expected to demonstrate responsibility and initiative to respond independently to queries with only general guidance. There is a requirement to use judgment in dealing with unforeseen problems on a daily basis. Job holders have a level of expertise and knowledge to adapt and contribute to the development of systems and processes in order to continually improve the level of support provided. Job holders are expected to manage resources and coach and coordinate a team of support staff.
JOB PURPOSE
To coordinate and provide high quality, client-focused and value-for-money oriented fleet administration services.
KEY ACCOUNTABILITIES (not all-inclusive)
- Β Verify resource requirements in the area of responsibility (WFP Light vehicle fleet, Motor bikes, Generator sets and fuel products). Assist in the identification of new requirements to facilitate efficiency and cost-effectiveness of operations and services.
- Β Responsible for provision of enabling services such as Generator, Motor bikes and Light vehicle Fuel products, etc., reporting any discrepancies to the supervisor for consistent and timely delivery of services, to ensure the provision of a safe and comfortable working environment for WFP staff.
- Β Data analysis and visualization. An analytical mindset and good problem-solving skills to support the effective and timely management of WFP resources.
- Β Ensure fleet utilization /optimization reports/overview, as well as key performance indicators, are generated monthly.
- Β Ensure fuel consumption, light vehicle, generator repair and maintenance costs are extracted directly from the organizationβs corporate tools.
OTHER SPECIFIC JOB REQUIREMENTS
- Β Cost performance report for Light vehicles, Motor Bikes and Generators, is produced from FMS monthly
- Β Provide training and guidance to drivers and other fleet staff. Support, discipline and encourage your assigned drivers.
- Β Vehicles' status report is produced from FMS reviewed monthly and presented to the Office Management.
- Β Real time data input on fuel, vehicle maintenance cost and Vehicle optimization in the organizationβs corporate system
- Β Regular review of Light vehicles, Motor bikes and Generator allocation and redeployment strategy based on actual SLCO operations.

STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. A post-secondary certificate in the related functional area.
Language:Β Fluency (level C) in English language.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
- Β Strong understanding of fleet management/operation, principles including fuel management and vehicle maintenance.
- Β Excellent problem-solving skills. Should be adept at identifying and resolving issues during fleet operations.
- Β Familiarity with fleet management software and other relevant technologies in streamlining fleet operations.
- Β 6 years or more years of progressively responsible work experience in the relative business stream with experience in general administrative and fleet management.

These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders in the field typically report to the Country/Deputy Director or the designate. Job holders in RBs or HQ typically report to the Deputy Regional/Division Director or the designate. Job holders operate with a high degree of independence, manage more junior staff to ensure that administrative objectives are achieved in full. They are heavily involved in dayβto-day activities and analytical work.
JOB PURPOSE
To contribute to daily planning and delivery of quality, customer-focused, value for money administrative services that enable staff in country/location operations to deliver food assistance to beneficiaries, in line with WFPβs strategy.
KEY ACCOUNTABILITIES (not all-inclusive)
- Β Contribute to and implement WFP country/regional plans, including administrative processes, aligned with regional and wider WFP strategies and policies to facilitate efficient and effective administration service.
- Β Develop annual plans, contribute to longer term strategies and improvements to policies, systems and procedures to ensure services provided support WFP strategic objectives and are in compliance with corporate policies, standards, regulations and processes.
- Β Carry out complex data analysis to provide management and clients with the accurate information and reports for efficient planning and decision-making.
- Β Manage the existing resources in the area of responsibility (e.g. WFP managed facilities, assets and travel management, etc.) and estimate new requirements aiming at efficiency, cost-effectiveness and timeliness of operations and services.
- Β Facilitate the compliance of the services provided (e.g. WFP managed facilities, assets and travel management, etc.) with the corporate Occupational Safety and Health Policy and contribute to the provision of recommendations to the management on improvements/changes.
- Β Support a culture of environmental sustainability throughout WFP by role modelling actions that drive sustainability in all administrative activities.
- Β Guide and supervise more junior staff, acting as a point of referral and supporting them with more complex analysis and queries.
