Job Description

Under the guidance and supervision of the Administrative Fleet Management Assistant, the Driver provides reliable and safe driving services ensuring high accuracy of work. The Driver demonstrates a client-oriented approach, high sense of responsibility, courtesy, tact, and the ability to work with people of different national and cultural backgrounds.

The Driver provides driving services to the operations and Programme staff in the CO, Consultants and Experts and UN staff on mission.




 

 

Position purpose:

The Driver should provide reliable and secure driving services to and from any destination. He/she should also be knowledgeable of the proper use of a vehicle and is responsible for its maintenance and upkeep. The driver should be cautious and drive safely to ensure the safety of the passengers and/or items. He/she should also be prompt and timely to ensure that there is no delay for the passengers or the delivery of important items.

 

 

Key Duties and Accountabilities:

1. Ensures provision of reliable and secure driving services by; 

  • Driving office vehicles for the transport of authorized personnel and delivery and collection of mail, documents and other items and;
  • Meeting official personnel and visitors at the airport, visa and customs formalities arrangement when required;

Example of duties:

  • Picking up VIPs from the airport and driving them to their hotels or other destinations, delivering visa letters to embassies, etc.;

2. Ensures cost-savings through proper use of vehicle through accurate maintenance of daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports;

Example of duties:

  • Recording daily fuel consumption, follow-up on vehicle maintenance dates.

3. Ensures proper day-to-day maintenance of the assigned vehicle through;

Example of duties:

  • Timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes, car washing, etc.





4. Ensures availability of all the required documents/supplies;

Example of duties:

  • Vehicle insurance, vehicle logs, office directory, map of the city/country, first aid kit, necessary spare parts.

 

5. Ensures that all immediate actions required by rules and regulations are taken in case of involvement in accidents;

Example of duties:

  • Calling the authorities, giving testimony, filing a police report.

      • Knowledge of policy & procedures on fleet management.
    • Insurance management
      • Knowledge of policy and procedures on insurance – ability to conduct risk assessment to procure coverage; to ensure relevant tracking and reporting.

      • Overall document (hard or electronic) management – registry and retention policy including storing and archiving.




  • ERP travel and expense module
    • Knowledge of the ERP Travel and Expense Module – ability to provide help desk support to UNDP and other UN agencies.
  • Travel policy and procedures
    • Knowledge of travel policy and procedures – ability to interpret travel policy, the staff rules, administrative circulars and financial regulations and rules on travel related matters.

Security Services

  • Security policy awareness & implementation
    • Knowledge of security policy concepts and ability to apply to strategic and/or practical situations.

 

 

Required Skills and Experience:

Education

  • Secondary education is required;
  • Valid driver’s license.

Experience 

  • Minimum 2 years’ work experience as a driver with safe driving record;
  • Knowledge of driving rules and regulations and skills in minor vehicle repair;
  • Time-management, review data, record-keeping, communication, attentive to detail, organizational, coordination and planning, good working relations with staff and VIP personnel.

Language

  • Fluency in English and Krio.
