Overview

GIZ has been working in Sierra Leone since 1963 with now more than 100 national and international personnel working in projects implemented together with our Sierra Leonean partners funded by the German Government, the EU, and others.
We are advertising the position of three βAdmin Interns in Freetownβ.
As an administrative intern in the Socio-Ecological Economic Transformation in Selected Rural Value Chains (EET) project in Freetown, you will get an insight in the administrative job family with GIZ and support the admin team in Freetown in preparing for an internal audit. The EET project aims to foster private sector development, improve the business environment, and to promote women economic empowerment.
This is a 3-months internship with the possibility of an extension of another 3 months.
A. Responsibilities
- You are responsible for supporting the administrative team in Freetown in the preparation of an internal audit of the project administrative and accounting systems in Sierra Leone.
- You will support the administrative team in Freetown with other administrative tasks such as procurements, contract preparation and driver coordination.
- You are responsible for supporting the admin team in updating the assets inventory.
- You will support the administrative and technical team with taking minutes of meetings and attending some internal and external meetings.
B. Tasks
Specific tasks of the Administrative Interns include, but are not limited to:
Procurement:
- Supporting the admin team in hard copy filing of procurement vouchers
- Reviewing procurement vouchers for completeness
- Supporting the procurement officer in procurement processes
Contracting:
- Supporting the admin team in hard and soft copy filing of contract documents
- Reviewing contract files for completeness
- Supporting the procurement officer in contracting processes
Assets:
- Supporting the admin team in verifying and updating the projectβs asset register
- Supporting the admin team in compiling lists of assets for handover
- Preparation of handover documents
- Filing of handover documents both in hard and soft copy
- Supporting the admin team in booking out some broken/stolen assets from the inventory
Vehicle Logbooks:
- Supporting the admin team in quality control of vehicle logbooks
- Supporting the admin team in fuel consumption calculations
Filing:
- Supporting the admin team in sorting out and archiving old admin files
Other support:
- Supporting the EET team with taking minutes of meetings
- Attending internal and external meetings and workshops on behalf of EET and compiling back to office reports
- Any other task as assigned by the line manager
Supervision Received
Receives general direction from the EET Programme Coordinator.
Required qualifications, competences, and experience
Qualifications
- Final year student or recent graduate (not more than six months ago) of a degree programme in accounting, financing, administrative studies, or similar.
- Excellent working knowledge of Microsoft Word, Outlook, Excel and PowerPoint.
- English, also in reading and writing level C2, is a must.
Professional experience
- First experience in the admin or accounting field, e.g. through internship(s).
Other knowledge, additional competences
- Commitment, team spirit, reliability and gender competence.
- Ability to think and act strategically and analytically and having an eye for the essentials
- Willingness to learn and to work in an international team.
- Self-drive, creativity, and problem-solving capacity are required.
- Able to work under supervision as well as independently.

Overview
The Energizing Development Programme Sierra Leone (hereinafter EnDev) is an energy programme with the objective of increasing access to affordable modern energy services. It is a global initiative in more than 20 countries that GIZ is implementing on behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ). Donor countries are Germany, the Netherlands, Norway and Switzerland. EnDev has been active in Sierra Leone since more than 10 years, cooperating with government institutions, national and local non-governmental organization, donors and the private sector.
In Sierra Leone, the programme consists of two components a) access to electricity through Pico PV, solar home systems b) access to modern cooking systems through energy-efficient cookstoves, sustainable biomass production to avoid deforestation including efficient charcoal production. Moreover, the project has recently been commissioned to implement the βTransformational Energy Use for Sierra Leone β phase 1β (TEUSL-1) on behalf of the European Union and the German BMZ ministry. That project activity has a distinct focus on productive use of (renewable) energy (PUE).
The present position will support the implementation of the TEUSL project and will be based in the soon-to-be established regional EnDev office in Kenema.
The position comprises the following:
- Responsibilities
- Support with administrative tasks in the project, especially in TEUSL, such as Reporting and Communication
- Communication of project tasks to broader audiences will be a key duty of intern
- Support the Team in the day-to-day activities within the project.
- Assist closely the RE-Tech team from acquisition, planning, costing, procurement, through implementation to closure for technical and strategic issues. According to your skills.
- Support the monitoring and quality-checking of contractors (consultants, installers, suppliers) who are engaged by EnDev to implement TEUSL-1-activities in the field.
- Stock keeping and control of all solar equipment under the supervision of the RE- Tech team lead.
- Secure timeliness, respect to GIZ rules and discipline within the EnDev Team.

- Supports coordination of solar trainings and installation with other GIZ projects and partners.
- Supports field missions of GIZ, consultants and implementing partner organizations
- Provide basic training package to end users or partners when the need arises.

The Intern
- assists other experts, if necessary, as translator
- Secure soft and hard copies of relevant document in the absence of the RE-tech team lead
- Follow-up on all technical requests from EnDev partners as instructed by the KTL RE-Tech
- Continue with the filing system of both soft and hard copies of documents.
